Do this now: before you sign a commercial HVAC maintenance contract

Four things to have in hand before any company quotes a contract:

  1. The equipment list. Every unit's nameplate: brand, model, tonnage, refrigerant and year. Rooftop units, split systems, VRF, boilers, chillers, exhaust fans. A quote without it is a guess.
  2. The refrigerant charge per unit. EPA's leak repair rules apply to appliances holding 50 pounds or more of ozone-depleting refrigerant; the contract should say who keeps the records.
  3. Last year's repair invoices. They show which units eat money. DOE says an old, inefficient rooftop unit can waste $900 to $3,700 a year on its own.
  4. A gas or carbon monoxide plan. If anyone smells gas or a CO alarm sounds, everyone leaves and someone calls 911 from outside (CPSC). Put it in the building's emergency sheet before the contract, not after.

Is it urgent? Commercial HVAC problems that cannot wait for the next visit

A commercial HVAC failure is urgent when people or inventory are at risk, and the contract's response-time clause is what you are paying for; PickHVAC puts commercial technician labor at $75 to $125 an hour in business hours, and urban sites 10% to 35% higher.

  • Gas smell or a CO alarm: evacuate, 911, then the HVAC company. The furnace or boiler stays off.
  • No cooling in a store, office, kitchen or care setting in hot weather, or no heat in freezing weather. Call the emergency number in the contract; see commercial HVAC repair.
  • A refrigerant leak on a large system. EPA requires repair within 30 days of finding a leak above the 10% annual rate on comfort cooling systems with 50 pounds or more, or a plan to retrofit or retire the unit.
  • Water through the ceiling under a rooftop unit. A plugged condensate drain or a curb leak; the roof side is on commercial roof repair.
  • Can wait: a unit that runs but is due for its quarterly visit.
Definition

Commercial HVAC maintenance is scheduled inspection, cleaning and testing of a building's heating and cooling equipment under a service contract, usually priced per unit per visit. PickHVAC puts commercial technician labor at $75 to $125 an hour; we found no published national price per contract, so this page prices the parts of one.

How much does commercial HVAC maintenance cost?

Commercial HVAC maintenance is billed from $75 to $125 an hour for a technician and $95 to $165 for a foreman in PickHVAC's May 2026 commercial guide, the only publisher with national commercial labor figures we could find; no cost guide publishes a per-unit or per-square-foot contract price.

The residential guides give a floor. Fixr's January 2026 guide prices a packaged system maintenance visit at $450 to $550 and an annual service contract at $150 to $500 a year for a house; a building with six rooftop units is six of those visits, with crane and lift time on top. Ask every bidder for the same thing: a per-unit price per visit, the number of visits, and the hourly rate for repairs found during a visit.

What a commercial HVAC maintenance contract should include

A maintenance contract should cover seven things in writing, and the two that matter most are the per-unit checklist and the response time:

ClauseWhat to look for
Visits per yearHow many, in which months, and per unit or per building
Per-unit checklistFilters, belts, coils, condensate drains, economizers, controls, refrigerant charge, electrical; written per unit
RefrigerantLeak checks logged; for systems over 50 pounds, the EPA leak repair clock and records
Parts and laborWhat the fee covers, the hourly rate for repairs ($75 to $125 technician, PickHVAC), and after-hours rates
Response timeWritten hours for a no-cool or no-heat call; whether contract customers go first
RecordsA log per unit with readings and dates; you own it if you change vendors
Term and exitOne year, renewal terms, and how either side ends it

EPA Section 608 and leak repair rules; PickHVAC labor rates (May 2026).

  • Certification. EPA requires Section 608 certification for any technician who services equipment that could release refrigerant. Ask for it by name.
  • Economizers and controls. DOE's rooftop unit campaign puts advanced controls retrofits and quality maintenance next to replacement as the ways to stop the $900 to $3,700 a year an old unit can waste. A contract that only changes filters misses the part that saves money.
  • New refrigerants. EPA's Technology Transitions rule caps light commercial AC and heat pumps at a GWP of 700 from January 1, 2025, and VRF systems from January 1, 2027; ask whether the vendor stocks and services the newer refrigerants.

Rooftop unit maintenance

Rooftop units cool about 60% of US commercial floor space, per DOE, and a 5 ton replacement runs $8,000 to $22,000 installed in PickHVAC's figures, which is the number a maintenance contract is protecting.

  • Quarterly is the usual rhythm: filters and belts every visit, coils and condensate drains before cooling season, burners and heat exchangers before heating season.
  • Economizer dampers stuck open or closed are a common finding; DOE's campaign lists controls as a main retrofit.
  • Curbs and roof penetrations get a look at each visit; water under a unit is often the roof, not the unit.
  • Replace vs repair: DOE's $900 to $3,700 a year of waste against PickHVAC's $2,400 to $4,200 per ton installed. Target saw an average 50% installed efficiency gain across 40 stores in DOE's campaign.

Commercial boiler repair and maintenance

A commercial boiler gets the same yearly inspection CPSC asks for on every fuel-burning heating system, and the residential guides give the floor: HomeAdvisor prices a boiler service or repair at $425 on average and HomeGuide an annual gas boiler plan at $200 to $500 a year for a house.

  • Combustion and venting checks each heating season; CPSC lists chimneys, flues and vents with the boiler itself.
  • Pressure, relief valves and expansion tanks. Bryant names the relief valve as a frequent leak culprit; a commercial boiler room adds low-water cutoffs and the local inspection schedule.
  • Who repairs it: commercial boilers are usually a boiler or mechanical contractor rather than a residential HVAC company; ask on the call whether the company takes commercial boiler work. Residential prices by part are on boiler repair and boiler service.
  • Jurisdiction inspections. Many states and cities inspect commercial boilers on a schedule; the contract should say who prepares for it.

Commercial HVAC maintenance near me: what to ask

  • Price per unit per visit, and how many visits? Then the total for the year.
  • Hourly rate for repairs found during a visit, and after-hours? PickHVAC: $75 to $125 in business hours.
  • Response time for a no-cool or no-heat call, in writing?
  • Do you keep the refrigerant records EPA requires? And who holds them.
  • Do you service our refrigerants and controls? Name the brands.
  • License number, insurance certificate and EPA 608 cards. Ask for the company's license number and proof of insurance yourself; the HVAC license table shows who licenses HVAC work by state.

Questions people ask

How much does commercial HVAC maintenance cost?

PickHVAC's 2026 commercial guide bills technicians at $75 to $125 an hour and foremen at $95 to $165, with urban sites 10% to 35% higher. No national guide publishes a per-unit contract price; ask bidders for a per-unit price per visit.

How often should commercial HVAC be serviced?

Quarterly is the usual rhythm for rooftop units, with coils and drains before cooling season and burners and heat exchangers before heating season. CPSC asks for a yearly inspection of every fuel-burning heating system.

What should a commercial HVAC maintenance contract include?

Visits per year, a written per-unit checklist, refrigerant leak checks and EPA records, the hourly rate for repairs and after-hours work, a response time in writing, a log per unit, and the term.

Is a maintenance contract worth it for rooftop units?

DOE says an old, inefficient rooftop unit can waste $900 to $3,700 a year and that quality maintenance and controls retrofits are the fixes short of replacement, which PickHVAC prices at $8,000 to $22,000 for a 5 ton unit.

What are the EPA rules for commercial refrigerant leaks?

For appliances with 50 pounds or more of ozone-depleting refrigerant, EPA requires a comfort cooling system leaking more than 10% a year to be repaired within 30 days of finding the leak, or a retrofit or retirement plan. Technicians must hold Section 608 certification.

Who repairs a commercial boiler?

Usually a boiler or mechanical contractor; ask on the call whether the company takes commercial boiler work. HomeAdvisor's residential average for a boiler service or repair is $425.
